PDF Conversion Troubleshooting

Fix common problems when converting PDFs.

PDF conversion can save time, but a PDF may contain selectable text, scanned pages, vector artwork, embedded fonts, or complex layouts. These differences affect how accurately another format can represent the original.

Text is missing or not selectable

The PDF may contain page images rather than real text. Use optical character recognition (OCR) when available, then proofread the recognised text because OCR can confuse similar characters, columns, and punctuation.

Tables or columns look wrong

PDFs are designed to preserve appearance, not necessarily the original document structure. Try exporting to a format that fits your next step, and check reading order, table boundaries, and line breaks manually.

Fonts or symbols changed

Some fonts may not be embedded or supported by the destination. Check special characters, mathematical notation, and multilingual text. For an exact visual copy, converting pages to images may preserve appearance but makes text harder to edit or search.

Conversion fails

Confirm that the PDF opens normally, check whether it is password-protected, and retry with a smaller file or a few pages. Large scanned documents can use substantial memory. Use a current browser and avoid renaming the extension as a substitute for real conversion.

Final quality check

Compare the exported file with the source. Verify page count, images, links, tables, headers, footers, and text. Keep the source PDF until the converted file has been checked and accepted.
