PDF Tools: A Practical Guide
Use PDF tools with fewer formatting surprises.
PDF files are convenient for sharing documents because they preserve page layout across devices. The right operation depends on whether you need to rearrange pages, reduce file size, or move content into another format.
Choose the right PDF operation
- Merge: combine several related PDFs into one file. Put the documents in the order you want before processing.
- Split or extract pages: create a smaller file containing only the pages you need. Check page numbering carefully; some tools count from page 1 while PDF viewers may show printed page labels.
- Compress: reduce file size for email or uploads. Strong compression can lower image quality, especially in scanned documents.
- Rotate or reorder: correct sideways pages and make the reading order logical before sharing.
- Convert: export to Word, images, or text when you need to edit or reuse content. Complex columns, tables, and scanned pages may not convert perfectly.
Before you start
Keep an unchanged copy of the original file. Confirm that the file opens, that it is not password-protected unless the tool supports that case, and that you have permission to process it. If a PDF contains scans rather than selectable text, an OCR tool may be required to recognise words.
Check the output
Open the processed file and inspect page count, orientation, fonts, links, tables, and image clarity. For important legal, financial, or official documents, compare the result against the original instead of assuming conversion is lossless.
Common problems
If processing fails, try a smaller file, remove unusual characters from the filename, check whether the PDF is encrypted, and retry in an up-to-date browser. A browser tool may be limited by available memory for very large files.
